Contemplating the security of your company’s data or server backups may make you want to just keep your head in the clouds. Here are the top three reasons why switching to a hosted ERP system is worth the effort:

1. Security

Number of Users and Customization Requirements

The study points out that larger businesses would typically have more users who need access to the system, requiring more applications and functionality, calling for a higher-priced system.

Customizations can increase the price as some businesses have more specialized processes, and in turn, need specific customizations that will support these.

2013 Year End Procedures In Dynamics GP

As 2013 comes to a close, we are all considering our New Year’s Resolutions to make 2014 the best year ever. This is a great opportunity to consider last minute adjustments for fine-tuning your business. Remember to follow all the recommended year-end procedures so that all associated systems are ready for the challenges of the New Year.

  • Reconcile all your books - Prepare your Balance Sheet, Profit and Loss Statement, Statement of Cash Flows and Statement of Retained Earnings.
  • Complete the posting procedures and the closing procedures for all relevant modules.
  • Post the final adjusting entries in General Ledger.
  • Make a backup.
  • Print any year-end financial statements that are required.
  • Set up a new fiscal year.
  • Close the fiscal year.

Another thing to verify as part of the year-end closing process is the company’s backup procedures. Many organizations have poor or non-existent backup procedures. If there is a hardware failure, the organization may not have a secure offsite copy of its business data to ensure things can pick back up quickly. WebSan provides top cloud security with our Hosted Dynamics GP solution, maintained in our state-of-the-art SAS 70 certified data centre located in Toronto

If you want to learn more about year-end procedures in Microsoft Dynamics GP, join our webinar on Thursday, December 19th, at 11:00 am EST and learn how to successfully close your books.

We help you make it a success every year!

Secure Your Data in the Cloud

If you are doing business in finance, health care or the government, which are in need of highly protected data management procedures, you know security is an essential part when you are looking for a cloud solution.

According to Gartner’s report, the cloud-based security services market totaled $2.1 billion in 2013 globally. Gartner also expects the market to grow up to $3.1 billion until 2015.

“Encryption will be a new area of growth, but it remains a complex activity. The strongest interest will be in encryption products from cloud security brokers, which are relatively easy to deploy and have options for on-premises encryption management”, said Ruggero Contu, research director at Gartner

This projection anticipates an increasing demand for cloud security services. The good news is at WebSan Solutions your data is secure and accessible when you need it! We offer a hosted-enterprise business software solution, leveraging the vast capabilities of Microsoft Dynamics GP. Our Hosted Dynamics GP solution is maintained in our state-of-the-art Tier II SAS70/SSAE16 certified data centre located in Toronto, Canada.

Data Security in the Cloud

The most arguable myth about cloud ERP solutions refers to organizational data not being as secured as in an on-premise solution. In fact, SaaS security and privacy of data has proved to be customers’ biggest concern.

The top 4 most important issues about data security in the cloud are:

1. Your data storage location

This issue is related to the physical location of the data. When it comes to cloud ERP vendors, their data centers are housed in multimillion dollar facilities and have a 24/7 security all year long. After all, most cloud providers are actually better with physical security than an onsite solution vendor because they don’t have a lot of staff hanging around the facility. Thus, they are able to control physical access to various parts of the office space.

2. Who has access to your data and when

A race to the Clouds: Is your company on the right track?

The rise of cloud computing has led to a strong push from many companies to adopt security and data portability in a cloud environment. Cloud computing, otherwise known as SaaS (Software-as-a-Service), allows you to have your data and applications available to you virtually anywhere via the Internet.

Companies large and small are looking to the cloud as their future. All of this sounds good right? The only problem is that these companies cannot carefully self-manage their own IT projects to fulfill their future needs; projects grow in size and costs eventually run over budget.

There is a solution. When partnering with an experienced vendor such as WebSan Solutions Inc., your company will experience distinguished service and support when moving to the cloud.  WebSan Solutions Inc. will strive to use our leading solutions to your company’s benefit in order to make the transition smooth and help your company move forward.

Cloud Dynamics GP is crucial for companies looking to propel forward but don’t get lost while you’re in the transition.

From the Gutenberg Press to Hosted Dynamics GP

Many companies have started to embraced enterprise resource planning (ERP) in order to maintain their competitiveness. They have quickly learned a fundamental truth: technology can move a company forward only as far as its business processes will allow.

Amongst most organizations, paper or hard copies is the principal format for sharing invoices and associated documents for approval. Paper processes generates uncertainty and blind spots in a business. An example could be your Accounting department. Accounting has no way of knowing where a paper invoice resides on someone’s draw or desk after it is sent around for approval, nor how long it will sit there. Executives are unable to make accurate financial predictions because they see only completed transactions—not those in process, floating somewhere in the company’s structure.

With paper processes restraining the real value of a paperless ERP for companies large and small, the need for a way to automate the transformation of paper documents into digital data and to manage the resulting documents has prompted technology developers to innovate a new generation of devices and services. This is where Hosted Microsoft Dynamics GP comes in.

The next technological move from paper format is for companies and their accounting departments to consider is the cloud—online services that can dramatically reduce the costs of technology. Instead of a company’s investing more in its own infrastructure—additional servers, software, networking and maintenance—it can turn to the cloud for the applications it needs. By integrating your company with the Microsoft Dynamics cloud platform, it easily scales with your company’s needs and automatically upgrades as innovations evolve.

Enter the Cloud - Work from Anywhere

Tele-working or working from home is very common in today’s business world.  Staff at many companies have the ability to work from anywhere.  In fact, IBM has half its staff working from home, saving them valuable real estate, overhead & all that goes with having an office.  As a consultant, I am constantly traveling, but I am still able to stay in touch with the office through my Blackberry.  VPN’s allow many users to log into networks to access systems, emails, files, etc.

With cloud computing, the ability to work from anywhere is made even easier.  Through hosted Microsoft Dynamics GP, all staff need to access their ERP is an internet connection.  A CFO can easily review financial statements, in real time, from a Starbucks.  Imagine living out your days on a beach in the Caribbean, still able to complete necessary tasks.  With the invention of internet sticks that can plug into any USB, Operations Managers can carry a net-book or laptops with them & have the ability to complete sensitive tasks in an instant.  Sales staff no longer need a reserved desk at the office.  They can stay mobile, reaching more clients.  Even administrative staff could work remotely should the need arise as it did for many last summer with the G8 summit shutting down the core of Toronto.

SaaS ERP vs. On-Premise; what's right for your business?

I read an interesting article today from Aberdeen research. It went into great detail on what is really driving companies towards SaaS (Software as a Service)/Hosted ERP solutions vs. the traditional On-Premise solutions.

For the record, the number of companies installing On-Premise ERP solutions still far outweighs the number going live with a hosted solution, but that trend is slowly reversing itself.

The number one driver for implementing an ERP in the Small-to-Medium Business market is to reduce costs (no surprise there). Thus the number one impetus which would push a company to invest in ERP is finding an affordable solution at minimal risk. This is where the SaaS model fits in quite well.

SaaS total cost of ownership is less than On-Premise when you consider backups, hardware, IT staff, upgrades and service packs (bug fixes). A lot of companies are looking to outsource providers to host their ERP systems and take care of the "maintenance" of the system that their own staff would traditionally have to handle. The main cost considerations that drive the appeal of SaaS are :

  • Lower total cost of ownership
  • Reduces the cost and efforts of upgrades
  • Lower up front costs
  • Company has limited IT staff and no interest in hiring more
  • Seeking the best fit solution to their business needs
  • No emotional attachment to having it in-house
  • Strategy to focus resources elsewhere

Because of these driving factors, the number of companies considering SaaS ERP has jumped 61% from 2009 to 2010 (source : Aberdeen SaaS ERP : Trends and Observations 2010).
