Overview

The HR & Payroll Coordinator supports the organization's people practices including talent attraction and acquisition, onboarding, performance management, compensation, and offboarding. With a high degree of accuracy and while maintaining confidentiality, the HR & Payroll Coordinator will process payroll in-house for Canada and the US, as well as administer all benefits programs.

This is a full-time, permanent position with growth opportunity. Although we are currently working remotely, we will be moving towards a hybrid work model.

WHAT YOU DO

Recruitment & Talent Management

  • Update and maintain organizational chart and job descriptions
  • Support the recruiting and hiring process by participating in job postings, screening applications, scheduling candidate interviews, participating in the interview and assessment processes, completing reference checks
  • Prepare employment agreements
  • Develop onboarding programs and facilitate for all new hires
  • Coordinate logistics for new hire onboarding

Performance Management & Employee Retention

  • Coordinate the annual performance review program
  • Create and deploy employee surveys

Policies & Compliance

  • Support the updating, maintaining, and implementing of HR and Health & Safety policies and procedures
  • Assist with creating and implementing programs to promote a positive employee experience
  • Participate on the JHSC and any safety programs/initiatives

Employee Relations

  • Reply to employee queries in a timely manner
  • Initiate HR processes and benefits and follow-up with employees and managers as required (e.g. at the end of the probationary review, at anniversary dates, etc.)
  • Prepare employment verification letters
  • Draft employee letters and memos
  • Draft company-wide communications

HRIS & Payroll

  • Create and maintain employee records in the HRIS including setting up new hires and adding employee documents
  • Process payroll for employees in Canada and the US
  • Apply payroll changes as applicable including increases in salary and vacation pay
  • Update and maintain time-off entitlements in system (Moniroo)
  • Monitor employee usage of vacation and time off

Benefit Administration

  • Group benefit plan administration
  • Group RSP plan administration
  • Onboarding and offboarding as it relates to benefits and RSP
  • Assist with disability leave administration

Other

  • Prepare HR metrics for the leadership team
  • Other administrative duties as assigned

WHAT YOU HAVE

EDUCATION

  • Post-secondary education in Human Resources Management
  • CHRP (or in progress)

EXPERIENCE

  • Minimum of 3 years of experience in several areas of human resources including Recruitment and HRIS Administration
  • Minimum of 1 year of experience with payroll processing and benefits administration
  • Previous experience working in a tech/IT firm an asset
  • Previous experience working remotely and supporting a remote workforce

  • Able to maintain confidentiality

  • Effective time management, prioritization, and organizational skills
  • Flexibility and adaptability to work in a fast-paced environment
  • Proficient in MS 365 including SharePoint and Teams
  • Ability to self-start

KNOWLEDGE

  • Thorough knowledge of Ontario employment legislation including the Employment Standards Act, Human Rights Code, Occupational Health & Safety Act, etc.
  • Familiarity with employment standards in other provinces and in the US is a definite asset
  • Solid understanding of general HR best practices
